Summary
The Executive Assistant is responsible for preparing reports and presentations, screening calls, and taking meeting minutes. This position is responsible for coordinating projects and schedules that may involve working with all levels of internal management and staff as well as managing the executive’s calendar, meetings, and travel.

Associate's degree or equivalent from two-year college or technical school; or 2 - 5 years related experience and/or training; or equivalent combination of education and experience

Essential Functions
- Performs generalized duties including, but not limited to: transpose hand written or verbal communication to typed format (i.e. correspondence, reports, charts, and minutes of meetings); edits and makes copies of transposed information if necessary; collates and assembles reports and documents. Completes these duties in an accurate and timely fashion.
- Maintains administrative filing system in a timely and accurate manner. Be able to retrieve information upon request.
- Is responsible for maintaining and updating the contract database and books on a regular basis.
- Assists with managing the organizational policy system by making updates and formatting changes, sets up the owner and flow process, runs reports and distributes appropriately.
- Creates, edits, and manages various forms throughout the organization. Distributes as needed and updates all electronic versions as needed.
- Coordinates schedules and appointments. Schedules committee meetings and arranges for rooms and catering in an accurate fashion.
- Makes travel arrangements for Administration, including but not limited to: ordering tickets, make and confirm lodging and airline reservations and car rentals.
- Open, review and distribute interoffice and external mail. Bring priority items to Administration's attention. Answer office phone, screen and direct calls in a professional and efficient manner.
- Schedule and greet office visitors. May receive visits and calls regarding complaints or concerns which may be resolved or referred to proper person for resolution. Determine and suggest appropriate referrals from knowledge gained in previous situations. Determine urgency of individual situation and need to interrupt appropriate Administrative representative.
- Assists with the analysis, collection and maintenance of records as needed by Administration including quality, OSHA guidelines or other regulatory documents as may be required by the law.
- Attends meetings as required by Administration. Participates on committees as directed. May be assigned as support to operational committees and required to schedule the meetings as well as serve as recorder to the committee.
- Prepares necessary information and equipment for Board meetings including agenda, minutes and all informational materials. Ensure proper notification of all Board meetings. Prepares updates for bylaws, articles of incorporation and other legal documents in an accurate and timely manner.
- Communicates in a timely and effective manner with Credentialing Specialist to ensure Medical Staff privileging is conducted in a timely manner. Communicates with other support staff to ensure smooth and efficient operations throughout Sioux Center Health.
- Provides administrative assistance to the Marketing department and Foundation department assisting with documentation, correspondence and organization related to events and donations.
- Performs other duties and responsibilities as assigned.
